What Is the Knowledge-Based Authentication (KBA) Process for Online Notarizations?

If you have ever accessed your credit report online or set up a secure digital bank account, you have likely encountered a series of out-of-the-blue security questions. They ask things like: “Which of the following addresses have you lived at in the past ten years?” or “Which of these vehicles have you previously owned?”

In the digital world, this security quiz is known as Knowledge-Based Authentication (KBA).

When you book a Remote Online Notarization (RON) session, Ohio law requires this exact security tool to protect your documents from fraud. If you are preparing for an upcoming remote appointment, here is an informative look at what the KBA process is, why it is mandatory, and how to pass it smoothly.

Why Does Ohio Require a KBA Quiz?

In a traditional appointment, a mobile notary public physically holds your driver's license to verify your identity. Because a remote online notary meets you over a webcam, state regulations under the Ohio Administrative Code (Rule 111:6-1-05) mandate a multi-layered identity verification process before the meeting can officially begin.

The KBA quiz serves as the "identity proofing" layer. It ensures that the person sitting in front of the camera isn't just holding someone else’s stolen physical ID card—they also have to possess the unique personal knowledge associated with that identity.

How the KBA Process Works (The Ground Rules):

The quiz is entirely automated and managed by a secure, third-party verification platform. To keep your information completely confidential, the notary public cannot see the questions or your answers. To pass the verification screen, the system enforces five strict legal parameters:

  • 5 Tailored Questions: The system draws from billions of public and proprietary records to generate a custom, 5-question quiz based on your personal and financial history.

  • 5 Multiple-Choice Options: Every question will give you five possible answers to choose from (one correct answer and four incorrect distractors).

  • The 80% Rule: You must answer at least 80% of the questions correctly to pass. In short, you can only miss a single question.

  • The 2-Minute Timer: You have exactly two minutes to complete the entire quiz. This prevents identity thieves from having enough time to look up your personal history on another device.

  • Limited Attempts: If you fail the first attempt, the system allows you to retry the process up to two more times within a 48-hour window.

Quick Tips for a Smooth Verification:

Because the two-minute timer can cause a bit of pressure, keeping a few insights in mind can help you pass on your very first try:

  1. Be Mindful of the "None of the Above" Option: The quiz frequently includes trick questions where none of the answers apply to you. If a question asks about a street you've never heard of, don't guess a random name—look closely to see if "None of the Above" is the correct response.

  2. Clear Your Mind of Typos: Ensure you type your legal name and Social Security Number into the initial check-in screen perfectly, as the automated system uses that precise data to pull up the correct historical records.

  3. Minimize Distractions: Don't start the security quiz while driving or distracted. Find a quiet spot where you can focus entirely on the screen for those two minutes.
